AI Avatar for Virtual Meetings: Building a Digital Employee

Most companies lose hours every week to meetings that follow a script: the same product walkthrough, the same pricing questions, the same onboarding call. Our new R&D project asks a simple question — what if a digital employee could take those meetings instead?

What we are building

An intelligent AI avatar able to take part in online meetings on its own, in place of a real person. It connects to Zoom, Microsoft Teams and other communication platforms, talks to participants in real time, answers questions, delivers presentations and draws on the company knowledge base.

The core idea is not just a visual avatar. It is a full Digital Employee — a digital colleague the company can assign a role to, give the required knowledge, and send to meetings.

How it should work

Configure the employee. The company picks a role — Sales, Support, Technical Specialist, Receptionist — and uploads its material: products, instructions, pricing, FAQ and documentation.

Give it a face and a voice. A realistic avatar with speech and facial expressions synchronized to the generated audio, using a natural voice or a cloned one.

Connect the calendar. The agent sees scheduled meetings and joins them automatically at the right time, on the right platform.

Hold the conversation. Speech from other participants is recognized live, the language model answers from the knowledge base, and the avatar speaks the reply — with context kept across the whole call.

Report back. When the meeting ends, the system produces a summary, records the agreements, action items and follow-ups, and pushes them into the CRM.

Why the knowledge base matters most

A convincing avatar with nothing to say is a demo, not a product. The hard engineering is the retrieval layer: keeping answers grounded in the company's own documents, refusing to invent prices or commitments, and staying current as that material changes. Everything the avatar says has to be traceable to a source the company controls.

Where we are today

The project is in research and development. We are evaluating real-time avatar technology, AI voice, large language models, corporate RAG knowledge bases and the practical ways of connecting an AI agent to Zoom and Teams — each platform treats a synthetic participant differently.

The next milestone is an MVP: a live avatar with voice dialogue taking part in a test online meeting end to end.

Where it leads

A platform where a company uploads its data, configures an AI employee and gets a digital representative able to interact with customers and staff over video conferencing — 24/7, in several languages, with a growing team of AI roles behind one account.
